1. Purpose

The purpose of this policy is to provide a clear and comprehensive framework for the issue, use, management, and control of staff identification (ID) badges for all staff employed or supplied by {{org_field_name}}. As a temporary healthcare staffing agency providing registered nurses, healthcare assistants, and other healthcare workers to care homes and healthcare settings, {{org_field_name}} has a responsibility to ensure that all staff can be readily identified while on duty. Proper identification of staff is essential for ensuring the safety and security of service users, colleagues, and members of the public. It is also a key requirement to maintain trust, professionalism, and compliance with regulatory requirements, including the Health and Social Care Act 2008 (Regulated Activities) Regulations 2014, the Care Quality Commission (CQC) Fundamental Standards, the Data Protection Act 2018, and relevant health and safety legislation. This policy sets out clear guidelines on how staff are issued with ID badges, how they must be used, and how {{org_field_name}} monitors and controls the system.

2. Scope

This policy applies to: All registered nurses, healthcare assistants, and other temporary staff supplied by {{org_field_name}}. All directors, office staff, and anyone acting on behalf of {{org_field_name}}. All circumstances where staff are working on behalf of {{org_field_name}} in client placements including care homes, nursing homes, and other healthcare environments. The use of agency-issued ID badges, client-issued ID badges, and any other forms of identification used during the course of duty.

The use of official ID badges is essential to: Support the safety and security of service users, staff, and visitors. Comply with legal and regulatory requirements. Facilitate professional communication and working relationships. Prevent unauthorised access to secure areas. Promote confidence and reassurance for service users and clients.

5. Responsibilities

Directors The directors of {{org_field_name}} are responsible for: Overseeing the design, production, and distribution of ID badges. Ensuring that all staff receive an ID badge as part of their induction process. Ensuring that ID badges meet the required standard and display relevant information clearly. Ensuring that ID badge records are maintained securely and accurately. Ensuring that lost, stolen, or damaged ID badges are replaced in a timely manner. Investigating any misuse of ID badges or breaches of this policy. Reviewing this policy annually or when there are changes in legal, regulatory, or client requirements.

Agency Workers All temporary workers employed by {{org_field_name}} are responsible for: Wearing their {{org_field_name}} ID badge visibly and above waist level at all times when on duty. Complying with both agency and client requirements for ID badge display and usage. Taking care of their ID badge and reporting immediately if it is lost, stolen, damaged, or illegible. Returning their ID badge upon leaving {{org_field_name}} or when requested by the agency. Ensuring that their ID badge is not used by anyone else under any circumstances.

6. ID Badge Issuance

All staff will be issued with an {{org_field_name}} ID badge once they have: Successfully completed the recruitment and vetting process, including relevant DBS checks. Completed induction training. Provided the necessary identification and verification documents as required by the Recruitment Policy. The ID badge will be issued free of charge at the start of employment. Replacement ID badges due to loss, damage, or change of personal information may incur a replacement fee, unless due to fair wear and tear.

7. Content of ID Badges

Each {{org_field_name}} ID badge will contain the following information: Full name of the staff member. Staff role (e.g., Registered Nurse, Healthcare Assistant). Photograph of the staff member, taken to a professional standard during recruitment. {{org_field_name}} logo and contact details. Expiry date of the ID badge (typically 1 to 3 years). Unique identification number for verification purposes. Holographic or security mark to deter unauthorised duplication.

8. Use of ID Badges

While on duty in client placements, all staff must: Wear the {{org_field_name}} ID badge at all times in a visible location. Comply with client-specific requirements for additional ID badges where issued (e.g., site-specific badges). Present their ID badge when requested by service users, visitors, client staff, regulatory inspectors, or emergency services. Only use their ID badge when carrying out duties authorised by {{org_field_name}}. Not alter, tamper with, or deface their ID badge.

9. Storage and Care of ID Badges

Staff are responsible for: Keeping ID badges in good condition, free from damage or deterioration. Storing ID badges securely when not on duty. Avoiding leaving ID badges unattended or in locations where they may be misused. Ensuring that ID badges are not used outside the scope of authorised work.

10. Lost, Stolen, or Damaged ID Badges

In the event of loss, theft, or damage: The staff member must report this immediately to {{org_field_name}}. A replacement ID badge will be issued following an investigation if required. In cases of theft, the staff member may be advised to report the incident to the police and provide a crime reference number. The agency will record all incidents of lost or stolen ID badges and take appropriate action if patterns or concerns arise.

11. Returning ID Badges

Staff must return their ID badge to {{org_field_name}}: Upon termination of their contract or resignation. If requested by the agency as part of an update, audit, or review. Upon suspension, dismissal, or removal from the agency’s list of active workers. ID badges remain the property of {{org_field_name}} at all times.

12. Misuse of ID Badges

Misuse of ID badges, including but not limited to: Allowing others to use the badge. Using the badge outside of authorised duties. Tampering with or altering the badge. Using a badge after cessation of employment. Will be regarded as gross misconduct and may lead to disciplinary action up to and including dismissal. Where appropriate, misuse will be reported to regulatory bodies such as the NMC or the Disclosure and Barring Service (DBS).

13. Compliance with Data Protection

{{org_field_name}} will ensure that all personal information used to produce ID badges: Is processed in accordance with the Data Protection Act 2018 and UK GDPR. Is used solely for the purposes of identification and security. Is securely stored and only accessible to authorised personnel. Will not be shared with third parties except where legally required or with staff consent.

14. Training

All staff will receive training on: The purpose and importance of ID badges. The agency’s requirements regarding ID badge use, storage, and security. Actions to take if ID badges are lost, stolen, or misused. Refresher training will be provided during supervision, appraisal, or as part of general updates when procedures are amended.

15. Monitoring and Audit

The directors of {{org_field_name}} will: Maintain a secure register of issued ID badges, including issue and return dates. Regularly audit compliance with this policy through feedback, spot checks, and incident reports. Investigate all concerns regarding the misuse or loss of ID badges. 16. Equality and Inclusion
